MRP vs. Production Management Software: What's the Difference and Which Do You Need?

When you start looking for software to help run your manufacturing operation, you'll quickly encounter two categories: MRP (Material Requirements Planning) and production management software. They overlap, but they're not the same thing, and understanding the difference saves you from buying the wrong tool.

What MRP Does

MRP originated in the 1960s as a system for answering one question: based on what we need to produce, what materials do we need to order, and when? It's fundamentally about materials and procurement.

A modern MRP system typically handles:

• Bills of materials (what components make up each product)
• Inventory tracking (what materials you have on hand)
• Purchase order management (ordering what you need)
• Demand forecasting (predicting what you'll need)
• Production scheduling based on material availability

MRP is essential if your business involves complex bills of materials, significant raw material inventory, and procurement lead times that affect your ability to deliver on time. Think: a manufacturer assembling electronic devices from dozens of components, each sourced from different suppliers with different lead times.

What Production Management Software Does

Production management software focuses on what happens on the floor: tracking the status of every job, managing the flow of work through workstations, recording who worked on what and for how long, and providing visibility into production progress.

A production management system typically handles:

• Job creation and tracking
• Visual workflow management (kanban boards)
• Time tracking per operation
• Worker management and kiosk access
• Progress logging with notes and photos
• Customer-facing order tracking

Production management is essential if your primary challenge is visibility and coordination on the production floor, rather than material procurement.

Where They Overlap

Both types of software deal with work orders and production scheduling. Some MRP systems include basic production tracking. Some production management systems include basic inventory management. The most comprehensive tools, usually called Manufacturing ERP, try to cover everything.

Which Do You Need?

Consider your daily frustrations.

If your biggest problem is running out of materials, ordering too much or too little, or not knowing what's in stock — you need MRP.

If your biggest problem is not knowing where jobs are, losing track of production progress, spending too much time on status updates, or not having data on how long operations take — you need production management.

Many small manufacturers, especially those doing custom or made-to-order work, find that production management is the more urgent need. Materials are ordered per-project, inventory is relatively simple, but tracking 20 or 30 active jobs across multiple workstations is where things get chaotic.

The good news is that you don't have to choose one forever. Starting with production management software gets your workflow under control first. You can add MRP capabilities later as your operation grows and material management becomes more complex. The reverse path — starting with MRP and bolting on production tracking later — tends to be more difficult because MRP systems are designed around materials, not workflow visibility.

Questions to Ask Before Buying

Before committing to any system, ask yourself these questions:

• How many active jobs do I have at any given time? If more than 15, production management is urgent.
• How complex are my bills of materials? If each product has more than 10 components from multiple suppliers, MRP matters.
• What do my customers complain about most? Late deliveries suggest a scheduling or visibility issue. Wrong components suggest a materials issue.
• How do my floor workers currently know what to work on next? If the answer is "they ask me," you need production management.
• Do I have a reliable way to track how long each operation takes? If no, production management with time tracking is the priority.

The answers to these questions will tell you more about what you need than any vendor's feature comparison chart.
